Objective
In recent years, Flanshaw Junior & Infant School have struggled with a growing shortage of physical storage space. They therefore needed to transform their management of paper and digitise their document storage. Also, in order to become more efficient, the school was keen to embrace new technologies and sophisticated document generation techniques.

Spectrum were on hand to introduce innovative document management solutions and work with Flanshaw Junior & Infant School to transform their back-office operation and digitise a paper-heavy school.
The Solution
Using Canon’s best-in-class multi-functional devices, the first phase of Spectrum’s work with Flanshaw Junior & Infant school was to introduce Therefore™, Canon’s industry-leading document management software. The idea was to create a digital repository for the school’s vast array of financial documents and pupil records. The school was running out of physical storage space and was finding it difficult to retrieve documents quickly and comply with the regulations on pupil data storage. Spectrum specialises in information and document management and were able to implement a bespoke solution to transform the way in which documents are handled throughout the school.
Phase 2 of the project was to expand on the use of document management software by implementing a barcode recognition system that is used for school communications. Each letter to a parent is given a barcode that is unique to their child. When the letter is returned by the parent, it is scanned in on our Canon hardware and automatically filed through Therefore™ into the pupil’s records. These innovative solutions have sped up the school’s processes and allowed them to focus on what matters most to them; improving their pupils’ learning.
