Objective

Through Spectrum’s partnership with Panacea’s Primary Care IT Managed Services Provider, N3i, a print audit was arranged to allow Spectrum to investigate ways of improving the efficiency and value for money of Panacea’s print needs. As a PCN, Panacea operates a large print fleet across all of the GP Practices within its cluster and so it was essential that any new solution met the needs of a wide-range of Practices across the region.

There was a desire to introduce a consistent model mix to make toner supply as simple as possible.

A thorough print audit was conducted at each individual site in order to ascertain the capability and characteristics of the current equipment, the level of spend and to assess potential future requirements.

The Solution

After a period of in-house testing, it was agreed that the award-winning Canon range of A3 multi-function devices would be introduced for the day-to-day administration work at each site., and the best-in-class Lexmark A4 printer range was selected for the prescription printing. A seamless, three-way transition took place between Spectrum, Panacea and N3i, to ensure minimal disruption to the IT infrastructure and daily routines of staff. The strength of Spectrum’s relationship with N3i was the catalyst for this successful collaboration, and their introduction of print servers made the print solution much more robust than the previous print management model, providing added benefits to the overall solution. The ongoing joined-up support from both Spectrum and N3i has also led to huge improvements in service-levels compared to that from the previous supplier.

Now, the new, state-of-the-art printers communicate with Spectrum on a daily basis so that remote monitoring of performance can take place and to provide Spectrum with notifications when toner is low. This ensures that replacements are provided in a timely manner, again limiting disruption and intervention from Practice staff. The new devices are guaranteed for 5 years and unwanted obsolete toners are now a thing of the past. Due to all of these improvements, Panacea are now seeing a 67% reduction on print costs, providing a huge return on investment for the PCN.
