Objective

With a central office, based in Hull, managing a considerable volume of Accounts Payable transactions, Towne Group needed to automate finance processes to improve efficiency in their back-office. In addition, the legislative requirements in the lifting and testing industry mean that the secure logging and storage of paperwork is of paramount importance, so an effective solution was required.

As a third-generation family-owned business, Towne Group are moving with the times to ensure that their office operations is as efficient as possible, so that the company can continue to meet the demand from its global clientele.

Towne were keen to embrace the innovative Information Management solutions offered by Spectrum and worked in partnership to get the right outcome.

The Solution

First installing Canon’s office printers and photocopiers across all of Towne’s sites, Spectrum have gone on to provide an innovative solution to Towne’s everyday headaches around documentation. For each project that the company work on, a vast array of documentation was being produced in paper-form. Quotations, dockets, tickets, handwritten forms, delivery notes and many other documents are produced to establish a paper-trail for any given job.

Through the use of state-of-the-art Information Capture technology, coupled with the introduction of electronic forms and a sophisticated Document Management system, Spectrum have transformed how Towne’s business is run. All documentiaton is now created, completed, distributed, stored and retrieved electronically; all of which has been tailored to integrate with Towne’s Sage accounting system. This has resulted in considerable time savings, storage space savings and, at the same time, gives complete traceability of the documentation.
